Summary

The Operations Assistant will assist C&ES full-time staff in the daily operation of Conference & Event Services. In this role the person will aid in oversight of conferences and events on campus, supervise event student staff, and any crisis response in absence of other full-time staff members. In order to provide management services for events scheduled outside of normal business hours, this scheduled position will require evening and weekend availability.

Essential Functions

  • Onsite management of conferences, events, and meetings hosted by Conference & Event Services. Focusing on delivering exceptional customer service.
  • Serve as primary contact for conferences/events taking place during the scheduled shift.
  • Provide leadership and direction for the student event support staff.
  • Gain working knowledge of Event Management System (EMS) and R25 for completing space and resource assignments.
  • Facilitate and manage Conference & Event Services events in all locations on campus where events have been reserved.
  • Be aware of emergency procedures and troubleshoot concerns.
  • As needed, assist with in office front-line customer service, answering phones, taking messages, and greeting visitors.
  • Become a technical expert with all audio/visual equipment in order to provide client assistance and actively respond.
  • Partake in room set-up; must be able to move tables, chairs, stage pieces, etc., as needed with a focus on safety. Keen eye for attention to detail to maintain the highest level of presentation (space clean, properly set-up, and ready to go).
  • Collaborate with clients (internal and external) to improve customer service and the overall image of the operation.
  • Other duties as assigned.

Minimum Qualifications

  • Candidates preferred in the Tourism, Hospitality, and Event Management field of study or those pursuing an applicable BGSU degree who are looking to complete an internship. Other applicants with strong hospitality experience will be considered.
  • Ability to work with all people.
  • Excellent oral and written communication skills.
  • Evidence and ability to solve problems and resolve conflict quickly and efficiently.
  • Demonstrate an understanding of how to plan and orchestrate all facets of an event.
  • Be able to explain the basic concepts and models of conference and event service operation.
  • Develop skills in marketing and management of conference operation.
  • Apply cutting-edge technologies in hosting events.
  • Demonstrate leadership potential.

  • Must Be Available to work Evening hours (after 7pm) and Weekends
